Vehicles

Parking Requirements

  • Bus and trailer need to be parked in one location for the entire day — driver's sleep hours cannot be interrupted
  • Trailer opening should face the back dock / load-in area when possible
  • Need to know in advance if there are parking restrictions, narrow streets, or low clearances

Load-In Considerations

  • Most/all gear in heavy wheeled road cases
  • If no forklift or box truck — significant crew needed to push cases
  • Some cases may need to be stacked/downstacked — have crew or forklift ready
  • Double-wide case needs to make its way to FOH — plan route accordingly
Please advise on: Dock access, ramps, grade changes, distance from truck to stage
Fly Date Transportation
  • Team flies commercially
  • Typically 4-5 people (trio) or 2 people (solo)
  • May ship gear ahead (upright bass case, pedal boards, gear bag)
  • Ground transportation needed: airport to venue/hotel and return
  • Runner with 15-passenger van (or similar) appreciated for show day
Co-Bill / Festival Logistics

Co-Bill Shows

  • Full production travels
  • Need to coordinate changeover schedules with co-headliner
  • Coordinate RF frequencies between acts
  • May or may not hang soft goods (gold curtains) depending on show type
  • Labor needs: 4-6 hands, staggered with co-headliner's crew call

Festival Dates

  • Configuration varies (full band, trio, or solo) — confirm during advance
  • May need to ship/receive gear at festival site
  • Coordinate with festival production on shared resources
Day-of-Show Schedule Notes
  • 1.5-2 hours on deck for spike/line check
  • Will pre-stage as much as possible before deck time
  • Need to push audio / tune FOH during soundcheck
  • After-show food order confirmed by showtime (see Hospitality)
  • 3 restaurant menus (open past 11 PM) due by 1:00 PM day of show

Bus Call / Departure

  • Bus typically departs after show and load-out
  • Driver sleep hours are critical — bus parking location should not need to change
Runner / Local Transportation
  • Runner with vehicle appreciated for show day
  • Errands may include: restaurant food pickup, last-minute supplies
  • If available, a 15-passenger van is ideal for local movements
